Fee Configuration

Set up pricing tiers, visibility, tracking, and other fee settings

> TL;DR: Use pricing tiers for multiple price options (Early Bird, Regular, etc.). Set "Applicable To" to control who should pay and be tracked. Use "Public" visibility for events open to everyone, "Members Only" for internal dues.

Pricing Tiers

Pricing tiers let you offer multiple price options within a single fee.

When to Use Multiple Tiers

Creating Multiple Tiers

  • When creating or editing a fee, you'll see the first tier
  • Click Add Tier to add more options
  • Enter name and amount for each tier
  • Reorder by dragging or using display order
  • > Tip: Put your recommended tier first - it will be pre-selected for members.

    Open Amount Fees

    For donations or flexible pricing, enable Open Amount:

    • Members can enter any amount
    • You can set a minimum
    • Standard tiers become optional suggestions

    Visibility Settings

    Controls who can see your fee.

    Public

    Who sees it: Anyone, including non-members Best for:
    • Event registrations open to everyone
    • Fundraising campaigns
    • Merchandise available to all
    • Guest payments
    Behavior:
    • Appears on your club's public payment page
    • No login required
    • Guests can pay with just name and email

    Members Only

    Who sees it: Only logged-in club members Best for:
    • Internal membership dues
    • Member-exclusive events
    • Confidential fees
    Behavior:
    • Only visible when logged in as a member
    • Payments linked to member profiles

    Applicable To Settings

    This setting controls dues tracking - creating records for each member who should pay.

    All Members

    Creates a due for every current member. Use for fees everyone must pay.

    Active Members Only

    Creates dues only for members with "Active" status. Excludes alumni, inactive, and honorary members.

    Members with Specific Tags

    Creates dues only for members with selected tags. Great for:

    • Committee-specific fees
    • Regional chapter dues
    • Role-based requirements

    Voluntary (No Tracking)

    No dues are created. Payments accepted from anyone based on visibility. Use for:

    • Donations
    • Optional purchases
    • Fees where you don't need to track who "should" pay

    Due Date

    Set when payment is expected.

    What It Does

    • Displays deadline on fee cards
    • Enables overdue tracking after the date
    • Helps prioritize collection

    When to Skip

    Leave empty for:

    • Ongoing donations
    • Merchandise with no deadline
    • Flexible payment schedules

    Guest Limits

    For public fees, control how many guests each member can bring.

    Setting Guest Limits

  • Enter the maximum in "Max Guests Per Member"
  • Leave empty for unlimited
  • Set to 0 to disallow guest payments
  • How It Works

    When a member submits a guest payment, the system checks their count. If at the limit, the payment is blocked.

    Changing Settings After Creation

    Changes That Need Care

    Applicable To: Changing this won't automatically add or remove existing dues. You'll need to:
    • Manually assign new members who should have dues
    • Cancel dues for members who shouldn't
    Pricing Tiers: Existing verified payments keep their original tier info. New payments use new pricing.

    Common Questions

    Can members change their tier after paying?

    They'd need to submit a new payment. As admin, you can record a payment with the correct tier.

    Can tiers have different due dates?

    No. The due date applies to the entire fee. For different deadlines, create separate fees.

    How do I track which tier was paid?

    The tier name is recorded with each payment. You can see it in payment details and collection stats.

    What if I need to refund a tier difference?

    Handle refunds outside the system (through your payment provider), then adjust records as needed.
