How members and guests submit payments, and setting up payment methods

> TL;DR: Members view fees on your club's payment page, send money through Zelle/Venmo/PayPal, then submit proof (screenshot). Admins verify the payment. Guests can pay public fees with just their name and email.

How Payments Work

  • View fee on payment page
  • Send money using club's payment methods (Zelle, Venmo, etc.)
  • Submit proof (screenshot of confirmation)
  • Wait for verification (admin reviews and approves)
  • For Members

    Submitting a Payment

  • Go to your club's payment page
  • Click on the fee you want to pay
  • Select a pricing tier (if multiple options)
  • View available payment methods
  • Make the payment using Zelle, Venmo, PayPal, etc.
  • Return and click Pay Now
  • Upload proof (screenshot of confirmation)
  • Submit
  • > Important: Make the external payment BEFORE submitting. Don't submit proof until money is actually sent.

    What Makes Good Proof

    Include screenshots showing:

    • Payment amount
    • Recipient (matches club's account)
    • Confirmation that it was sent
    • Your name or account as sender
    Good examples:
    • Zelle confirmation screen showing "Payment Sent"
    • Venmo payment receipt
    • Bank statement showing the debit
    • PayPal receipt

    Payment Status

    BadgeMeaning

    If Your Payment is Rejected

  • Read the rejection reason
  • Check if payment actually went through
  • If payment failed, resend correctly
  • If payment succeeded, get clearer proof
  • Resubmit
  • Paying Multiple Fees

    Each fee requires a separate submission. If you want to combine payments, contact your admin.

    For Guests

    Guests are non-members who pay for public fees (events, donations, etc.).

    How Guests Pay

  • Go to the club's public payment page (no login needed)
  • Select the fee
  • Enter your information:
    • Name (required)
    • Email (required)
    • Phone (optional)
    4. View payment methods
  • Make the payment
  • Submit proof
  • Wait for admin verification
  • Checking Your Status

    Return to the payment page using the same email address to see your payment status.

    Setting Up Payment Methods (Admins)

    Adding a Payment Method

  • Go to FinancePayment Methods
  • Click Add Payment Method
  • Select the type
  • Enter details:
    • Name - Display name
    • Account Info - Email, username, or link
    • Instructions - How to send payment

  • Save
  • Writing Good Instructions

    Include:

    • What to enter (email, username)
    • What to include in memo/note
    • What to do after sending
    Example for Zelle:

    > "Send to treasurer@clubname.org using Zelle. Include your full name in the memo. After sending, return here and submit your confirmation screenshot."

    QR Codes

    Upload QR codes for mobile-friendly payments:

  • Generate QR from your payment app (Venmo, Cash App, etc.)
  • Click Upload QR Code
  • Members can scan directly from their phones
  • Managing Methods

    • Reorder: Drag to change display order
    • Disable: Toggle off to hide temporarily
    • Delete: Remove completely

    Recommended Setup

    For most clubs:
  • Zelle - Most common, no fees
  • Venmo or Cash App - Popular with students
  • PayPal - International-friendly
  • For formal organizations:
  • Check - For formal payments
  • Bank Transfer - For large amounts
  • One digital option for convenience
  • Payment Tips

    For Members

    • Double-check you're sending to the right account
    • Send the exact amount shown
    • Include your name in the memo/note
    • Screenshot immediately after payment
    • Keep your receipts

    For Admins

    • Verify payments regularly (don't let queue build up)
    • Use clear payment method instructions
    • Include QR codes when possible
    • Put your preferred method first in the list

    Common Questions

    Can I pay more than required?

    For open-amount fees, yes. For fixed-price fees, contact your admin.

    What if I sent the wrong amount?

    Contact your club admin. They can verify partial payments or guide you on the difference.

    How long does verification take?

    Depends on your club's admins. Usually 24-48 hours.

    What payment apps have no fees?

    Zelle, Venmo (personal), and Cash App (personal) typically have no fees for person-to-person payments.

    Can members pay any method for any fee?

    Yes, all active payment methods are available for all fees.

    Should we use personal or club accounts?

    We recommend dedicated club/treasurer accounts when possible. This separates personal finances and makes leadership transitions easier.
