View, edit, and manage guest records

Managing Guests

This guide covers viewing guest details, editing information, and other management tasks.

The Guest List

Access your guests by clicking Guests in the Finance section of the sidebar. The list shows:

  • Name with avatar
  • Email if provided
  • Phone if provided
  • Actions menu for each guest

Searching Guests

Use the search bar to find guests by:

  • Name
  • Email address
  • Phone number

Search updates as you type with a short delay for smoother performance.

Pagination

For organizations with many guests, the list is paginated. Use the Previous and Next buttons to navigate.

Guest Detail Page

Click on any guest row to open their detail page. This shows:

Header

  • Guest name and avatar
  • Email address
  • Guest badge (purple)
  • Merged badge if linked to a member (blue)
  • Action buttons: Record Payment and menu

Payment Statistics

Three cards showing payment summary:

CardShows
VerifiedTotal amount and count of approved payments
PendingAmount awaiting verification
RejectedCount of declined payments

Guest Information

  • Email address
  • Phone number
  • Notes
  • Created date
  • If merged, shows linked member information

Payment History

Full list of payments made by this guest with:

  • Date
  • Fee name
  • Amount
  • Status (Verified, Pending, Rejected)

Editing a Guest

From the Guest List

  • Click the three dots menu (⋮) on the guest row
  • Select Edit Guest
  • Update the information
  • Click Save Changes
  • From the Detail Page

  • Open the guest detail page
  • Click the three dots menu (⋮) in the header
  • Select Edit Guest
  • Update the information
  • Click Save Changes

    Deleting a Guest

    How to Delete

  • Open the guest detail page or find them in the list
  • Click the three dots menu (⋮)
  • Select Delete Guest
  • Confirm the deletion
  • What Happens

    • Guest is removed from the guest list
    • Guest record is "soft deleted" (preserved in database)
    • Payment history is maintained for financial records
    • Deletion cannot be undone through the interface

    When to Delete

    • Guest was created by mistake
    • Duplicate record exists
    • Guest is no longer relevant
    Note: Don't delete guests just to "clean up" if they have payment history - deleting doesn't remove their payments, it just hides them from the guest list.

    Available Actions

    From the guest detail page menu:

    Best Practices

    • Keep information current - Update email/phone when you learn new details
    • Use notes effectively - Record how you know the guest, event attended, etc.
    • Don't delete unnecessarily - Soft delete preserves records, but hidden guests can't easily be found
    • Merge when appropriate - Link guests to members to consolidate history
