What is Merging?
Merging links a guest record to a member's user account. This is useful when someone who was tracked as a guest has now signed up as a member.
When to Merge
Merge a guest when:
- A guest has signed up and become a member
- You want their payment history under their member profile
- You have duplicate records for the same person
How to Merge
Step 1: Open the Guest Detail Page
Step 2: Access Merge Option
Step 3: Search for the Member
Step 4: Confirm the Merge
What Happens After Merging
Payment History
- All guest payments are now associated with the member
- Payment history appears on the member's profile
- Original payment dates and amounts are preserved
Guest Record
- Guest record is preserved with a Merged badge
- Shows which member they were merged with
- Guest is still visible in the guest list
- Cannot be merged again
Member Profile
- Member now has access to their full payment history
- Includes payments made before they had an account
Important Warnings
Merging is Permanent
Once merged, the guest-member link cannot be removed. Double-check you're selecting the correct member before confirming.
Already Merged Guests
If a guest shows a Merged badge:
- They're already linked to a member
- The Merge with Member option won't appear
- You can view which member they're linked to on their detail page
Guest Must Not Be Merged
Only guests that haven't been merged can be merged. If you need to change which member a guest is linked to, contact support.
Troubleshooting
Can't Find the Member
- Make sure the person has a member account
- Try searching by email instead of name
- Check if they're listed under a different name
Merge Option Not Available
- The guest may already be merged
- Check for the Merged badge on the guest detail page
Wrong Member Selected
- Merging cannot be undone through the interface
- Contact your administrator or support for assistance
