Understanding guest states in your organization

Guest Status

Unlike members who have explicit membership statuses, guests have implied states based on their record data.

Guest States

Active (Default)

Most guests are in an "active" state - they exist in your guest list and can have payments recorded against them.

  • Visible in the guest list
  • Can record payments
  • Can be edited or deleted
  • Can be merged with a member

Merged

When a guest becomes a member, you can link their guest record to the member's user account. This is shown with a Merged badge on the guest detail page.

What happens when merged:
  • Payment history is associated with the member
  • Guest record is preserved for historical reference
  • Guest shows who they were merged with
  • Guest can no longer be merged again

Deleted

Deleting a guest performs a "soft delete" - the guest is removed from the list but the record is preserved.

Why soft delete?
  • Payment history is maintained for financial records
  • Can be restored if deleted by mistake
  • Maintains data integrity for reporting

Visual Indicators

  • Active → Merged: One-way, permanent link to a member
  • Active → Deleted: Guest is removed from active list
  • Merged → Deleted: Merged guests can also be deleted

Important Notes

  • Guests don't have statuses like "Active" or "Inactive" that you can manually set
  • The guest's state is determined by system actions (merge, delete)
  • Merging is permanent and cannot be undone
  • Deleting preserves payment history
